Membership and Operations Coordinator

The Membership and Operations Coordinator will play a critical role in helping to support the ongoing needs of the Canadian Association of Women in Construction (CAWIC) and its members. CAWIC is the national not-for-profit organization committed to enhancing the success of women in the Canadian construction industry. As the leading voice for women in construction, CAWIC supports, connects, and unites women from across the construction industry.

The Membership and Operations Coordinator role is an exciting and dynamic position that will help deliver key operational activities of the association to help enhance the success of women in construction. While this role is an entry-level position, it will provide you a great opportunity to learn and connect with members from coast to coast as you support programs and services, events, membership, mentorship, community outreach, DEI initiatives, and so much more. This role reports to the organization’s Executive Director.

Salary: $22.00-$25.00 per hour
Hours: 20 hours per week

RESPONSIBILITIES  

Membership Services 

  • Support and deliver on members’ needs through timely response and the highest level of customer service.
  • Support all areas of membership services, including invoicing, renewals, and new member orientation sessions.
  • Coordinate the development of prospect member informational kits and outreach activities.
  • Manage the association’s database, including data management and data segmentation. Ensure member contact information is continually updated and lists are maintained.

Event and Programs 

  • Assist in the planning and coordination of association events, programs, and meetings, including the annual conference, workshops, educational programs, social events, and webinars:
    • critical plan development;
    • venue sourcing;
    • marketing and promotion;
    • registration;
    • speaker sourcing and support; and,
    • event evaluation.
  • Coordinate the association’s participation in key events and trade shows. Respond to and manage the request for speakers to participate in external events.
  • Maintain the association’s calendar of activities and events.

Communications and Marketing 

  • Assist with the production and distribution of communications, newsletters, and reports.
  • Develop and implement ongoing social media, website, and emarketing content in collaboration with the association’s committees.
    • Monitor social media accounts regularly and publish social media content.
    • Maintain and update content on the CAWIC website.
    • Manage the implementation of the association’s newsletter, including content collection, development, layout, and distribution.
  • Develop and maintain an inventory of collaterals and promotional materials.
  • Manage and adhere to CAWIC’s brand requirements.
  • Assist in internal communications to support and engage volunteers across the country.

Administration

  • Provide high-level customer services to CAWIC members, Board Directors, volunteers, stakeholders,
    and the public.
  • Coordinate and process requests through CAWIC’s career centre.
  • Provide ongoing support as required to the Board of Directors, Committees, and volunteers.

SKILLS AND EXPERIENCE 

  • 1-2 years of administrative experience in communications, marketing, events, membership,
    volunteer coordination, or operations.
  • Post-secondary education in administration, construction, business, communications, marketing, or
    related field.
  • Proficiency with Microsoft Office.
  • Experience using design programs (e.g., Canva) is preferable.
  • Experience with social media, including content development, graphics creation, posting, and measurement.
  • Excellent written and verbal communication skills.
  • Strong customer service  with a positive approach to problem-solving.
