Job Title: Events & Program Specialist

Location: Remote, but an individual located in the Greater Toronto Area is preferred

Reports to: Executive Director

Position Type: Full-time – One-year contract position

Position Overview

The Events & Program Specialist will play a key role in the planning, coordination, and execution of events and programs that align with CAWIC’s mission. This individual will be responsible for ensuring the successful delivery of high-quality events, programs, webinars, and workshops. They will work closely with internal and external stakeholders, vendors, and partners to manage all logistics and provide innovative solutions to enhance the overall experience for attendees.

RESPONSIBILITIES

Event Planning & Coordination

  • Plan, coordinate, and execute a variety of events, including conferences, workshops, panel discussions, and networking sessions. Work closely with Signature Events Committee, Programs Committee, and Conference Committee to ensure that events are aligned with the organization’s goals and provide value to participants.
  • Coordinate venue selection, vendor management, and contracts.
  • Develop and maintain event timelines, ensuring all deadlines are met.
  • Manage event registration systems, including attendee lists, ticketing, etc.
  • Ensure all logistical aspects of events are handled efficiently, including AV, catering, and setup.

Program Development & Management

  • Assist in the development of program content, including speaker selection, session planning, and event themes.
  • Work closely with Programs Committee to ensure that programs are aligned with the organization’s goals and provide value to participants.
  • Coordinate with speakers, panelists, and moderators to ensure seamless program delivery.
  • Manage event registration systems, including attendee lists, ticketing, etc.

Marketing & Communications

  • Develop promotional materials, event agendas, and social media content to support all events and programs.
  • Manage communication with attendees, including pre-event instructions, event updates, and post-event follow-ups.
  • Assist in maintaining a digital presence for events on the organization’s website and social media platforms.

Stakeholder Engagement

  • Build and maintain relationships with members, sponsors, partners, and key stakeholders.
  • Support sponsor activations, ensuring all agreements are executed effectively during events.
  • Coordinate with members and sponsors to develop meaningful collaborations that enhance event outcomes.

Reporting & Evaluation

  • Track event metrics and KPIs, including attendance, engagement, and financial outcomes.
  • Prepare post-event reports, summarizing successes, areas for improvement, and recommendations for future events.

Administration

  • Provide high-level customer services to event attendees, CAWIC members, stakeholders, and the public.
  • Provide ongoing support to the Board of Directors, Committees, and volunteers.

Qualifications

  • 3+ years of experience in event planning, program management, or a related role.
  • Proven experience managing small to large-scale events with strong attention to detail.
  • Strong project management skills with the ability to multitask and meet deadlines.
  • Excellent written and verbal communication skills.
  • Ability to work collaboratively in a team environment as well as independently.
  • Proficiency with Microsoft Office.
  • Experience using design programs (e.g., Canva) is preferable.
  • Strong problem-solving skills and the ability to adapt to changing circumstances.
  • Experience in budget management and negotiation with vendors.
  • A passion for creating memorable event experiences.
